Verify who may submit a recommendation
Record the number and type of recommendations requested, eligible recommenders, submission method, and deadline for each institution. Check whether the requirements concern a school official, a teacher, another recommender, or different roles.
EducationUSA advises choosing someone who knows you well. A person's familiarity with your actual work can be more useful than an impressive title. The institution's instructions still determine whether that person is eligible to submit the required recommendation.
Ask with a clear request
Give the recommender your intended programme, relevant deadline, and the official submission instructions. Ask whether they are comfortable writing a recommendation based on their knowledge of you. Allow them to decline rather than assuming every teacher can provide the same level of detail.
A practical request might explain: “I am applying for an undergraduate engineering programme. Your class project helped me develop my interest in the subject. Would you be comfortable recommending me, using the college's instructions linked here?” Adapt the request to your real experience.
Prepare a one-page evidence sheet
Include:
- Your intended subject and why you are exploring it.
- Two pieces of work the recommender actually saw.
- A challenge or improvement they observed.
- Relevant responsibilities or contributions, with accurate context.
- The institutions, deadlines, and submission details they need.
Keep the examples factual and concise. Do not supply invented achievements or imply the recommender observed something they did not see. An evidence sheet is background information, not a letter they must copy.

Try the Calculator →Track completion respectfully
Agree on when a reminder would be useful. Use your application tracker to distinguish “request accepted,” “instructions sent,” and “submission confirmed,” where confirmation is available through the application system.
Follow the institution's rules for confidential recommendations and any access or waiver choices. Do not ask someone to share confidential application credentials. Send a thank-you when their work is complete, regardless of the eventual admission outcome.
Connect the recommendation to the rest of the application
Your essays, activity descriptions, academic record, and recommendation request should describe your genuine experiences consistently. The same project can appear in more than one place, but each part should serve its own purpose rather than repeat the same paragraph.
Use the document checklist to confirm the required roles, and the deadline tracker to keep school-issued work separate from your own tasks.
