A US college deadline tracker should record the exact institution, intake, task, due date, and stated time zone. For a student in India, a date copied without its time-zone context can leave an important ambiguity.

Make one row per deadline
Application submission, supporting documents, test reports, scholarship forms, and later response requirements can have different deadlines. Verify each one separately on the current official page or through the relevant office.
Use this table:
| Institution and intake | Task | Official due date and zone | Your earlier target | Owner | Status | Source |
|---|---|---|---|---|---|---|
| Your selected college | Applicant submission | Verify | Set after verification | You | Official URL | |
| Same college | School-issued document | Verify | Allow preparation time | School official | Instructions | |
| Same college | Scholarship application | Verify if applicable | Set after verification | You | Award page |
Your internal target is a planning buffer, not a change to the official deadline. Label the two dates clearly.
Preserve the institution's stated time zone
Copy the official wording and, where necessary, use a reliable current calendar or time-zone tool to create your India-side reminder. Check the result against the intended date. Do not assume every US college uses the same zone or that a US offset remains constant throughout the year.
If the page gives a date without clear timing, ask the admissions office. Keep the answer with the row. A guessed conversion should not become the basis for a final submission.
Work backwards from receipt requirements
Check whether an item must be submitted, sent, or received by the deadline. Then allow time for the school, recommender, testing provider, or other sender to complete their part.
Record dependencies. For example, your action may be to request a record before the school can send it. A single “complete application” reminder will not show those steps.

An institution may have pages for multiple application cycles, applicant types, or programmes. Save the applicable intake and page-check date. If a future cycle's deadline is not published, record that it is awaiting confirmation rather than borrowing a previous year's date.
EducationUSA recommends early preparation and a calendar because application requirements differ across institutions. Your tracker should make those differences easier to manage.
Conduct a weekly review
Check the unresolved rows, current official notices, and tasks involving another person. Save submission evidence when an action is completed. The week before a verified deadline, review the institution's own instructions for checking application status and missing materials.
Use the documents guide and the test-policy guide to identify tasks worth tracking. Begin college and cost research at GradeToGrad's study-abroad page.
